The goal of this project was to design a user friendly, low fidelity wireframe flow for creating AI personas within an organization's ecosystem. The experience needed to minimize decision fatigue while allowing customization and flexibility. My task was to ensure users could quickly set up a chatbot persona using pre-built templates, define key settings, and understand the chatbot’s capabilities before deployment.

Objectives

  • Provide a streamlined way to set up an AI persona without starting from scratch
  • Offer pre-defined templates tailored to common roles (e.g., legal, finance, strategy)
  • Allow for easy customization while maintaining simplicity
  • Ensure users understand what the persona is capable of once launched

Design Process

UNDERSTANDING THE PROBLEM SPACE

I began by mapping out the challenges users may face when setting up AI personas:

  • Decision paralysis when starting from a blank slate
  • Lack of clarity about what the chatbot will do once set up
  • Overwhelm from too many customization options
  • Concerns around data access, privacy, and team visibility

To address these, I prioritized an experience that felt guided, flexible, and clear, helping users move from “unsure where to start” to “ready to launch” in just a few steps.

Key Screens & UX Decisions

Welcome & Template Selection

WeLCOME AND INTRO

  • A concise explanation setting user expectations
  • A single, prominent CTA: “Create your own Template”

Template Selection

  • Users browse pre built persona templates by industry
  • Each card shows a visual and a short role description
  • Includes a Custom Template option for advanced users
  • Search and filter by industry or role
  • Preview feature: tap a card to see a sample conversation flow
  • Users receive a suggested template based on prior usage or industry (AI recommendations)

Basic Customization Settings

  • Users define the persona’s name and role here
  • Personality/Tone selection: Friendly, Formal, Concise, Detailed etc.
  • A subtle step-tracker gives users confidence and clarity throughout

AI Customization

  • Text area for a custom directive (e.g., “You are a finance advisor helping SMB founders with tax questions.”)
  • Real time preview panel updates as fields are filled out and persona has a distinct personality.
  • On steps 3–5, changes trigger the persona to have real time updates when previewing.

Integration Options

  • Users toggle integrations like Gmail, Google Drive, Dropbox, Slack, MS Teams
  • Each has a short description of what it enables ("Connect your inbox so the AI can summarize threads, draft replies or retrieve key info.")

Privacy & Access Controls

  • Visibility settings: Personal, Team, Public
  • Reply behavior: Auto Reply, Draft Reply, On Mention Only
  • Clear language and info to explain each choice

Confirmation & Final Preview

  • Summary screen showing: Template, role, custom directive, personality, integrations, and access settings
  • Final Preview CTA to test the bot's behavior
  • Launch Persona CTA

Iteration Notes

IF I HAD MORE TIME, I would have explored...

  • A full template preview experience with example Q&A dialogs
  • A collaborative setup experience for teams to build personas together
  • Persona history and versioning for rollback or comparison

Conclusion

This UX flow breaks down the complexity of persona creation into digestible, decision light steps, allowing users to launch contextual, well defined AI personas with confidence. The wireframes support enterprise use cases while maintaining simplicity for first time users.
